We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the Penn-Harris-Madison School Corporation. Key Responsibilities- Front Desk Operations: Greet and assist visitors, answer telephones, and respond to or direct calls.
- Correspondence and Reports: Assist with correspondence, reports, and other written communications.
- Data Management: Obtain, gather, and organize pertinent data as needed and put it into usable form.
- Filing and Record-Keeping: Maintain a regular filing system, as well as a set of confidential files, and process incoming correspondence as instructed.
- Supply Management: Order and maintain supplies or instructional materials as appropriate.
- Clerical Support: Assign duties to and supervise the work performance of clerical office personnel.
- Bookkeeping and Purchasing: Perform tasks related to bookkeeping, purchasing, activities funds, payroll, leaves or absences.
- Student Bookstore Management: Oversee all operations related to the management of the student bookstore.
- Substitute Management: Assist in securing and orienting substitute personnel, supervise and administer the substitute system (AESOP).
- Security and Safety: Administer the Honeywell security system for the school and monitor safety procedures in the office.
- Community Liaison: Act as a liaison between faculty and students, build and maintain a positive rapport with the school community.
- Education: High school diploma or equivalent, post-secondary training/education or experience in accounting, office management, or telephone/communications systems preferred.
- Skills: Advanced office skills, ability to work with a variety of technology tools, proficiency in word processing, database, spreadsheets, and desktop publishing programs.
- Personal Qualities: Ability to maintain confidentiality, willingness to improve and/or develop job-related skills, excellent communication skills-oral, written, and interpersonal, detail oriented, excellent work habits, attendance record, and successfully complete and pass all criminal history and child abuse clearances.
