Immediate Supervisor: Director of Support Services

POSITION SUMMARY:

The primary responsibility of this role is to organize and prepare medical documentation for distribution and processing, alongside various administrative tasks. This position will involve training related to the management of medical records, files, and data analytics.

KEY RESPONSIBILITIES:

1. Collects forms, records, and patient correspondence for digitization and data entry into the HBS system.

2. May duplicate records and documents for billing or legal purposes; transmits and receives information via fax.

3. Prepares documents for mailing and dispatch promptly.

4. Uploads documents to the designated payer portals.

5. Oversees and monitors postal expenditures for the assigned location.

6. Uploads patient medical records as needed for clinical appeal processes.

7. Keeps the supervisor updated on issues or challenges; monitors necessary supplies; performs additional duties as required.

8. Seeks technical support by informing the immediate supervisor of any problems or issues related to collections, accounts, employees, clients, or others, as necessary.

9. Provides technical support to colleagues and/or clients as requested, including offering guidance to facilitate task completion.

10. Drafts and reviews correspondence, including emails, letters, and other written communications.

11. Participates in staff and other professional meetings, including technical or professional courses, workshops, or seminars to share knowledge and enhance skills.

12. Compiles and maintains Client-specific Policies and Procedures.

13. Assists in the creation and development of job aids.

14. Performs other duties as assigned.

JOB REQUIREMENTS:

REPORTING STRUCTURE:

· This role operates under general supervision, following established protocols; determines how and when to accomplish tasks and reports significant activities through regular meetings and written updates.

· This position reports directly to the Director of Support Services.
