Position Summary: Accountable for the daily organization, scheduling, and operational efficiency of the office.

Personnel Management
  • Ensures adequate staffing levels to fulfill the requirements of healthcare providers and the organization.
  • Supports the Regional Manager in recruiting, onboarding, training, coaching, and evaluating employee performance.
  • Assists in the annual performance review process for all supervised personnel.
  • Evaluates and adjusts work schedules for both clinical and administrative staff while maintaining attendance records.
Financial Oversight & Payroll
  • Guarantees daily reconciliation of patient payments with cash receipt logs.
  • Manages the office petty cash system, ensuring sufficient funds are available and maintaining accurate records of expenditures.
  • Monitors PTO schedules, oversees overtime, and ensures compliance with break/lunch policies while managing unauthorized absences.
  • Collaborates with Patient Financial Services, Accounts Payable, and Finance Departments for accurate reconciliation of care slips, invoices, and receipts.
Management Reporting & Controls
  • Reviews provider schedules to ensure optimal patient appointments.
  • Assists in tracking inventory of injectables and products using practice management systems.
  • Ensures appropriate provider-to-patient ratios and scheduling accuracy.
  • Monitors automated appointment reminders and requests to maintain expected practice productivity.
General Administration
  • Possesses a working knowledge of all cosmetic services and products, including injectables, fillers, surgical procedures, and aesthetic services.
  • Has a general understanding of medical dermatology.
  • Ensures the organization and maintenance of medical records while adhering to HIPAA regulations.
  • Acts as the initial contact for escalated patient concerns.
  • Participates in provider and departmental meetings as required.
  • Engages in organizational seminars and events.
  • Undertakes additional projects and responsibilities as assigned by senior management.
Qualifications:

Experience: Minimum of 2 years in a Medical Office Managerial role, preferably in Dermatology.

Technical Skills: Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Teams, as well as experience with EMA and Laboratory Information Systems.
