Job Overview

Position Summary:

The Operations Planning Specialist is essential in facilitating efficient workflows across multiple departments by overseeing invoice management, maintaining purchase orders (POs), and fostering collaboration with customer service and sales teams. This role also aids in the support of ERP systems and supply chain processes to improve overall operational effectiveness and precision.

Core Responsibilities:

Invoice Management:

  • Oversee and track invoices to guarantee prompt processing and payment.
  • Resolve discrepancies between invoices and purchase orders.
  • Coordinate with the finance department to address any invoice-related concerns.

Purchase Order Management:

  • Generate, update, and manage purchase orders within the ERP system.
  • Ensure purchase orders are accurately aligned with corresponding invoices and delivery documents.
  • Engage with suppliers and internal teams to resolve any purchase order discrepancies or modifications.

Collaboration with Customer Service:

  • Partner with the customer service team to handle customer inquiries regarding orders, shipments, and returns.
  • Provide timely updates to customer service on order statuses and inventory levels.
  • Assist in addressing any issues that may affect customer satisfaction.

Collaboration with Sales Associates:

  • Work alongside sales associates to ensure alignment between sales orders and inventory availability.
  • Support sales teams with accurate order fulfillment and timely deliveries.
  • Communicate any potential delays or issues to the sales team and propose solutions.

ERP System Assistance:

  • Support the maintenance and troubleshooting of the ERP system concerning order processing, inventory management, and reporting.
  • Provide training and assistance to team members on ERP-related tasks and functionalities.
  • Collaborate with IT and ERP vendors to resolve system issues or updates.

Supply Chain Support:

  • Assist in supply chain planning by providing accurate and timely data regarding inventory levels, sales forecasts, and order statuses.
  • Work with the supply chain team to maintain optimal inventory levels and prevent stockouts or excess inventory.
  • Contribute to the analysis of supply chain performance metrics and suggest process enhancements.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related discipline.
  • Experience: 2-4 years of experience in a planning, operations, or administrative capacity, ideally within a manufacturing or retail context.
  • Skills:
  • Proficiency in ERP systems and MS Office Suite (Excel, Word, Outlook).
  • Strong analytical and problem-solving capabilities.
  • Exceptional organizational and multitasking skills.
