Position Summary

The Coordinator will operate within our Sales, Emergency Services (Mitigation) Department and/or our Reconstruction Department. This role serves as a vital link for clients to ascertain project needs and specifications. The Coordinator will manage and organize tasks while supporting team members as required.


Compensation:

$40,000 - $46,000 per year


Key Responsibilities:
  • Provide support to Mitigation Manager, Reconstruction Production Manager, or Project Director as necessary.
  • Handle incoming communications on office and mobile lines.
  • Conduct intake for new projects.
  • Collaborate with clients, customers, and vendors.
  • Document job notes in operating systems.
  • Complete compliance tasks in primary operating systems.
  • Create new project files.
  • Generate and dispatch invoices for projects.
  • Maintain and organize job files and project documentation.
  • Conduct collections calls for the Accounts Receivable department.
  • Generate reports in the main operating system, RMS.
  • Ensure that current projects are on schedule.
  • Coordinate project schedules, resources, equipment, and labor.
  • Act as a liaison with clients to identify and define project requirements.
  • Ensure client needs are met from initiation to completion of the project.
  • Assist Project Managers with updates and information regarding projects.
  • Perform additional duties as assigned.

Required Skills and Qualifications:
  • Proficient in Microsoft Office applications (Outlook, Word, Excel).
  • Strong customer service skills.
  • Effective communication abilities.
  • Typing proficiency.
  • Administrative capabilities.
  • Aptitude to learn and operate primary systems: RMS, Xactimate, Luxor, Contractor Connection, ADP, Sage, SharePoint, and One Drive.
  • Ability to create documents and invoices.
  • Competence in communicating with customers over the phone.
  • Familiarity with office equipment (printer, phone system, computers).
  • Capacity to work independently.
  • Ability to manage multiple projects simultaneously.
  • Stress management and composure.
  • Maintain confidentiality.

Education and Experience:
  • High School Diploma or GED required.
  • Experience in customer service.
  • Three or more years in an administrative role.

Preferred Qualifications:
  • Associate Degree preferred.
  • One or more years of experience in the restoration or related industry.

Physical Requirements:
  • Must be able to remain in a stationary position for extended periods.
  • Occasional movement within the office to access files and equipment.
  • Regular operation of a computer and other office machinery.
  • Ability to observe and process information on a computer and documents.
  • Effective communication with customers over the phone.
  • Occasional lifting of up to 10 lbs.
  • Capability to safely operate a company vehicle.
