Position Overview

The Support Services Staffing Specialist is responsible for executing staffing operations across all Support Services divisions, adhering to established protocols and guidelines. This role plays a crucial part in ensuring optimal staffing levels for Support Services personnel.

Key Responsibilities

  • Manage staffing coordination and placement for all Support Services divisions in alignment with Medstar staffing principles.
  • Collaborate with the Staffing Manager to address and resolve unique staffing challenges as they arise.
  • Input, oversee, and maintain precise computerized schedules for personnel on a monthly basis.
  • Conduct thorough reviews of time schedules to ensure accuracy, identify variances, and confirm compliance with staffing matrices and standard ratios.
  • Update and maintain daily schedule modifications within the scheduling system.
  • Ensure census accuracy in the scheduling system and disseminate staffing updates to Support Services divisions.
  • Provide coverage for unexpected absences and secure additional staff as necessary.
  • Keep management informed regarding patterns of absenteeism, excessive sick leave, and habitual tardiness.
  • Develop and maintain systems for recording, evaluating, and distributing staffing schedules and reports to enhance the efficiency of the staffing system.
  • Answer incoming calls with professionalism and proper etiquette.
  • Communicate with team members regarding upcoming staff changes or essential information for subsequent shifts.
  • Assist managers in meeting scheduling deadlines and provide necessary support.
  • Conduct staffing and personnel analyses to identify trends and productivity, offering statistical insights for budget planning.
  • Notify licensed staff of renewal deadlines and follow up as required.
  • Organize and oversee various projects and initiatives within the Staffing Office, ensuring alignment with the hospital's strategic and operational objectives.
  • Act as a liaison between internal departments and external vendors.
  • Manage the collection and distribution of statistical data related to departmental evaluation, control, and planning.
  • Support colleagues with their responsibilities as needed.
  • Collaborate with others to initiate and coordinate continuous quality improvement efforts throughout Support Services.

Qualifications

  • High School Diploma or GED is required; an Associate's degree is preferred.
  • 1-2 years of experience in a fast-paced environment is required; experience in payroll and/or scheduling is preferred.
  • Strong organizational, interpersonal, and computer skills, along with excellent phone etiquette, are essential.
