Administrative Assistant to Operations and Sales

Zanesville Steel LTD is seeking an experienced Administrative Assistant to join our Operations and Sales team. The successful candidate will provide administrative support to the operations manager, ensuring the smooth functioning of our manufacturing operations.
Key Responsibilities:
- Assist in the preparation, organization, and distribution of reports, documents, and presentations.
- Maintain and organize departmental files, records, and databases.
- Manage departmental calendars and schedule meetings, appointments, and travel arrangements.
- Handle incoming calls, and emails directing inquiries to the appropriate team members.
- Assist in drafting, editing, and proofreading documents, including memos, emails, and reports.
- Act as a liaison between the operations team and other departments of the company.
- Ensure efficient communication flow within the departments and with external stakeholders.
- Maintain a professional and positive demeanor in all interactions.
- Compile, analyze, and summarize data to create reports and presentations.
- Maintain accurate and up-to-date records of inventory, production, and other operational data.
- Assist in the preparation of operational budgets and expense reports.
- Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
- Ensure that meeting rooms are equipped with the necessary materials and technology.
- Monitor and order office supplies, equipment, and materials as needed.
- Provide general administrative support to the operations team as needed.
- Collaborate with other administrative staff to ensure the efficient functioning of the office.
Requirements:
- High School Diploma or Equivalent (associate degree or bachelor's degree in business administration or related field preferred).
- Proven experience as an administrative assistant or in a similar role.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Attention to detail and accuracy.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills.
- A proactive and team-orientated attitude.
- Maintain flexibility in meeting job responsibilities.
- Exhibit ability to be self-motivated and work independently.
