POSITION SUMMARY

The Billing Specialist plays a vital role in managing all agency billing invoices within the Agency Management System. This position is essential for ensuring the accurate and timely invoicing of insurance policies, processing payments, and addressing any billing discrepancies. The Billing Specialist collaborates closely with internal teams to maintain efficient billing operations and support the financial integrity of the agency.

KEY RESPONSIBILITIES

The primary duties include, but are not limited to:

  • Creating invoices for insurance premiums and services rendered.
  • Producing monthly statements for clients.
  • Recording and processing all payments received for financing agreements.
  • Addressing inquiries from agencies regarding billing matters and providing clear explanations.
  • Coordinating with insurance carriers and internal teams to resolve billing-related issues and updates.
  • Preparing regular billing and financial reports for management, highlighting key trends, outstanding accounts, and areas for enhancement.
  • Ensuring compliance with regulatory requirements and company policies in all billing practices.
  • Maintaining accurate and current billing records and reports within the agency's management system.
  • Identifying opportunities to enhance the billing process and improve operational efficiency.
  • Assisting with the processing and downloading of commission statements as necessary.
  • Entering manual records as required.
  • Participating in special projects and other duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
  • 2+ years of experience in billing, accounts receivable, or a related financial role, preferably within the insurance sector.
  • Strong knowledge of billing processes and financial principles.
  • Proficiency in Microsoft Office Suite (Excel).
  • Experience with agency management systems (EPIC) preferred.
  • Exceptional attention to detail and accuracy in data entry and financial calculations.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication and customer service skills.
  • Problem-solving skills with a focus on resolving billing discrepancies.
