Medical Office Coordinator

The Medical Office Coordinator plays a vital role in ensuring the smooth operation of our clinic. This position is responsible for scheduling appointments, managing patient demographics, and maintaining accurate billing information.
Key Responsibilities:
- Prepare the front office for the next day's appointments
- Obtain, monitor, and accurately record demographics, insurance, and authorization forms for each encounter
- Collect copays and payments from patients for office visits, earplugs, etc.
- Assist with answering the phone, creating tasks for the appropriate follow-up person
- Place reminder calls to patients for the next day's schedule
- Scan documents to the appropriate file
- Clean the area at the end of each day
- Provide follow-up and return patient calls
- Maintain inventory of supplies
- Acquire records from past providers, ER, or hospital visits for scheduled patients as needed
- Complete medical record requests from patients, other doctors, lawyer offices, etc.
Requirements:
- High School Diploma required. Associates degree a plus.
- Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring.
- Must have basic computer skills. Microsoft Office experience required.
- Accurate typing skills.
- Be able to react calmly and effectively in emergency situations
- Ability to communicate clearly, as well as understand and respond to detailed oral and written instructions.

- Maintain a positive upbeat personality. You are the FIRST impression.
Working Conditions:
- The office assistant will work in a professional office environment.
- May have exposure to infectious and bloodborne diseases.
- Contact with customers under wide variety of circumstances.
- Subject to varying and unpredictable situations, handles emergency or crisis situations
- Occasionally subject to irregular hours
- The ability to cope with the mental stress and tension associated with the Office Assistant position
- Maintains a working knowledge of applicable Federal, State and Local laws and regulations
The responsibilities associated with this position may change from time to time in accordance with departmental needs. Employees may be required to perform additional and/or different responsibilities from those set forth in this job description.
Shift: Monday - Friday (varied) 7:00 am to 7:00 pm
