Clinical Operations Coordinator

Job Summary:
The Clinic Access Representative plays a vital role in ensuring the smooth operation of our clinic. This position is responsible for scheduling appointments, managing patient demographics and billing information, and maintaining a safe and efficient work environment.
Key Responsibilities:
- Prepare the front office for the next day's appointments
- Obtain, monitor, and accurately record patient demographics, insurance, and authorization forms
- Collect copays and payments from patients
- Assist with answering phone calls and creating tasks for follow-up
- Place reminder calls to patients for upcoming appointments
- Scan documents to the appropriate file
- Clean the area at the end of each day
- Provide follow-up and return patient calls
- Maintain inventory of supplies
- Acquire records from past providers, ER, or hospital visits as needed
Qualifications:
- High School Diploma required; Associates degree a plus
- Personal presence characterized by honesty, integrity, and caring
- Basic computer skills and Microsoft Office experience
- Accurate typing skills
- Ability to react calmly and effectively in emergency situations
- Clear communication and understanding of detailed oral and written instructions

Working Conditions:
- Work in a professional office environment
- May have exposure to infectious and bloodborne diseases
- Contact with customers under various circumstances
- Subject to varying and unpredictable situations, handles emergency or crisis situations
- Occasionally subject to irregular hours
- Ability to cope with mental stress and tension associated with the Office Assistant position
- Maintain a working knowledge of applicable Federal, State, and Local laws and regulations
