Job Overview

The Purchasing Support Specialist plays a crucial role in assisting buyers within a vibrant and fast-paced retail environment. This position requires exceptional communication abilities and serves as a vital link between Buyers, Internal Business Partners, and the Vendor Community. Candidates must demonstrate strong organizational skills and the capacity to manage multiple tasks while ensuring meticulous attention to detail. Resourcefulness and confidence in problem-solving are essential, along with the ability to work autonomously and collaboratively.

Key Responsibilities:
  • Accurately input purchase orders into relevant systems for buyers across various departments in a timely manner.
  • Monitor and follow up on overdue orders and upcoming shipments, making necessary adjustments.
  • Process all modifications to purchase orders, including delivery extensions, cancellations, and pricing changes.
  • Collaborate with internal teams to address and resolve issues (e.g., Accounts Payable, PO departments, Planning, Distribution).
  • Engage with vendors through phone and email to discuss PO modifications, shipment statuses, and other inquiries.
  • Coordinate with logistics to ensure proper vendor shipping practices.
  • Generate and present reports for buyers as required (e.g., On Order, Sales).
  • Organize and maintain merchandise samples and the sample area for Buyers, including returning samples to vendors.
  • Assist Buyers with special projects as needed and perform general administrative tasks such as printing and filing.
  • Foster positive relationships across various business sectors.
Qualifications:
  • High School Diploma or equivalent.
  • Self-motivated individual capable of working independently while collaborating effectively within Merchandise Operations and cross-functionally.
  • Excellent verbal and written communication skills, with the ability to adapt communication style to suit different personalities and needs.
  • Strong problem-solving abilities and effective prioritization skills.
  • Demonstrates flexibility and adaptability in a dynamic work environment.
  • High attention to detail, with robust organizational and follow-through capabilities.
  • Proficient in multitasking within a high-volume, fast-paced setting while maintaining professionalism.
  • Ability to build rapport, maintain a positive demeanor, and collaborate with colleagues.
  • Willingness to learn and adapt to new software systems.
  • Experience with Microsoft Office Suite, including Word, Excel, and PowerPoint.
