Job Summary

We are seeking a highly detail-oriented and customer-focused Client Care Specialist- Property Manager to join our team at Hamilton Realty Advisors. In this role, you will be responsible for overseeing all aspects of property management, from initial client interface to executed management and lease agreements. You will also coordinate and effectively communicate with essential partners in the management process, including vendors, prospects, owners, and team members.

Key Responsibilities
  • Oversee all aspects of property management, including client interface, lease agreements, and post-acquisition follow-up.
  • Coordinate and communicate with essential partners in the management process, including vendors, prospects, owners, and team members.
  • Update and maintain communication with clients, agents, vendors, and broker.
  • Submit all necessary documentation to the office broker for file compliance.
  • Coordinate moving/possession schedules, schedule and coordinate booking process, and input client information into the client database system.
  • Lead generating activities to increase property and client portfolio, collect rent and other property fees from tenants and individual owners, and pay property expenses, including taxes, mortgages, payroll, insurance premiums, and maintenance costs where required.
  • Report the property's financial status, occupancy, and expiring leases to property owners, meet potential tenants, show them the property, and assess their applications in accordance with anti-discrimination laws.
  • Advertise vacant properties, hire a leasing agent to find tenants as needed, inspect properties, arrange for repairs and new materials, and manage disputes with service providers where appropriate.
  • Investigate and resolve property complaints and rental violations, and be open to learning and growing skill set.
  • Work independently and within a team setting where needed, and timely report submissions.
  • Cross-task communication with marketing, and coordinate site events and social events where needed.
Requirements
  • Customer service and interpersonal skills to meet with prospective and current tenants.
  • Good verbal communication, attention to detail to ensure applications are accurate and tenant issues or questions are adequately addressed.
  • Organization and the ability to multitask efficiently, problem-solving to find effective solutions for a variety of potential issues.
  • Knowledge of rental contracts and property and anti-discrimination laws or willingness to learn, pro-active communication and action skills.
  • Effective operations of a Mac (IOS) or Windows-based computer, and effective use of Excel, Adobe, and Microsoft Suite of Products.
