Executive Assistant to Private Equity Firm

We are seeking a highly skilled and experienced Office Manager/Executive Assistant to join our Private Equity firm in Miami, Florida. This role requires a proactive and adaptable individual who can work independently and collaboratively to manage the day-to-day operations of the office.

Key Responsibilities:

  • Manage office operations, including travel arrangements, schedules, and calendar coordination
  • Aid in the process of moving offices, ensuring a seamless transition
  • Liaise with IT to resolve technical issues and implement new systems
  • Prioritize daily agendas and correspondences, ensuring timely and effective communication
  • Ensure all meeting materials are accessible and up-to-date, and work with various departments to achieve this goal
  • Create expense reports, ad hoc projects, presentations, and travel itineraries, utilizing Microsoft Office Suite
  • Manage confidential and sensitive information, maintaining the utmost professionalism and discretion
  • Coordinate professional and personal appointments, events, and travels, ensuring all information is updated with details

Requirements:

  • Prior experience working as an Office Manager in a corporate office
  • Clear written and verbal communication, with the ability to work independently and collaboratively
  • Flexibility and responsiveness, with a proactive and forward-thinking approach
  • Ability to work with confidential and sensitive information, maintaining discretion and professionalism
  • Proficient in Microsoft Office Suite, specifically Outlook, Excel, PowerPoint, and Word
