- Dispatch and Coordination:
- Receive and assess service requests based on priority.
- Assign technical personnel (such as technicians and engineers) to client sites according to urgency, expertise, and availability.
- Continuously monitor and modify schedules to maintain optimal service coverage and response times.
- Communication:
- Engage with clients to validate service requests and provide timely updates on issue resolution.
- Act as the primary liaison between clients and technical teams, ensuring effective communication and information flow.
- Maintain ongoing communication with technical staff to track job progress and address any on-site challenges.
- Data Management:
- Input, update, and preserve accurate records of service requests, dispatches, and job statuses within the company’s tracking system.
- Compile and disseminate daily, weekly, and monthly reports on dispatch operations, resource usage, and service metrics.
- Problem Solving:
- Recognize potential scheduling conflicts and resolve them effectively.
- Assist in troubleshooting challenges that arise during the dispatch process to minimize service disruption.
- Customer Service:
- Deliver outstanding customer service by promptly addressing client inquiries and concerns.
- Follow up with clients after service completion to ensure satisfaction and collect feedback for ongoing improvement.
Qualifications:
- High school diploma or equivalent; additional technical or administrative training is advantageous.
- 2+ years of experience in dispatching, coordination, or customer service roles, ideally within a technical setting.
- Strong organizational abilities with the capacity to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in dispatch or scheduling software, along with Microsoft Office Suite.
- Ability to perform under pressure in a dynamic environment.
- A proactive mindset towards problem-solving and the capability to make swift decisions.
Working Conditions:
- This is a full-time role with standard business hours, though some flexibility may be necessary based on operational requirements.
