Job Overview

Position Title: Project Coordination Assistant

Objective: The primary aim of this role is to assist project leaders in ensuring seamless project execution from inception to completion through effective planning and operational support.

Compensation:

$50,000 - $60,000

Key Responsibilities:

Strategic Duties:

  • Facilitate project-related communications and procedures with internal teams.
  • Keep project leaders promptly informed about any issues arising during the project lifecycle.
  • Foster positive relationships with stakeholders including clients, architects, engineers, subcontractors, suppliers, and internal personnel.
  • Provide short-term coverage for project leaders during their absence or travel.

Tactical Duties:

  • Assist project leaders in tracking project hours and billing processes.
  • Support project leaders in task assignments and reviewing updated project documentation.
  • Engage in meetings focused on project timelines and initial details.
  • Coordinate internal hand-off meetings effectively.
  • Update project production calendars based on information provided by project leaders.
  • Review meeting notes as directed by project leaders.
  • Organize project images in designated platforms when instructed.
  • Prepare project files for client distribution.
  • Assist in the preparation and review of change proposals and orders.
  • Help in monitoring logs and status sheets for various project documents and materials.

Standards:

Position-Specific:

  • Ensure all project documentation is filed accurately.
  • Conduct initial reviews of construction submissions when applicable.
  • Work efficiently under tight deadlines to meet project timelines.
  • Respond to internal and external communications within one business day.
  • Organize meetings as directed by project leaders.
  • Facilitate group review sessions and manage file saving processes.

  • Participate in daily meetings to discuss project schedules and priorities.
  • Adhere to company standards and values in all work performed.
  • Return client and team calls within a timely manner.
  • Maintain confidentiality of all process information and documents.
  • Follow the company dress code during all professional interactions.

Qualifications:
  • Experience in food service is preferred.
  • Design experience is required.
  • Familiarity with Revit is preferred.
  • Strong time management, organizational, and communication skills are essential.
