Job Description

Welcome to the Chelsea Phillips Real Estate Group, a premier real estate agency in Savannah, Georgia. We are seeking a highly skilled and organized Executive Assistant to join our team.

This role is designed for someone who is fearless, highly organized, and ready to take on all aspects of the real estate industry. As the Team Lead's right-hand person, you will be responsible for ensuring everything from client needs and daily schedules to strategic growth initiatives is flawlessly executed.

The ideal candidate will have the ability to take decisive action, see through the fog, and possess a relentless pursuit of growth. You will work closely with our talented agents and clients, building relationships and making a real impact.

Key Responsibilities:

  • Manage the executive's daily administrative tasks, ensuring smooth operations.
  • Handle all daily details such as scheduling, travel, meeting prep, events, and general office management.
  • Improve and implement new systems and processes to enhance efficiency.
  • Handle all communication on behalf of the executive, including calls, emails, and meeting follow-ups.
  • Plan and organize events such as meetings, client and staff events, training events, business lunches/dinners, etc.
  • Act as the information hub for the team, preparing information and research for the executive.
  • Take meeting minutes and follow up on action items, prioritizing items that need the executive's attention.
  • Manage the schedule, household purchases, family travel, medical appointments, and personal events.
  • Assist with food planning, exercise support, and mind/spirit activities.
  • Manage expense reporting to the COO/CFO.
  • Conduct research, analyze data, and prepare daily, monthly, quarterly, and annual reports and documents in conjunction with the COO/CFO.
  • Manage social media, website, and online reviews.

Requirements:

  • Experience: Preferably 3+ years of experience as an executive assistant, with small business experience being highly valued.
  • Skills: Outstanding communication, interpersonal, organizational, and time-management skills.
  • Attention to Detail: Meticulous and resourceful, with a proactive problem-solving approach.
  • Flexibility: Ability to adapt to flexible hours and be available as needed.
  • Location: Must reside locally in Savannah, GA, to ensure seamless integration into our team and operations.
