Director of Operations Job Description

Patagon Search is seeking an experienced and technically proficient Director of Operations to join our growing company in Downtown Miami. As a key member of our team, you will play a crucial role in shaping the operational aspects of our online platform in the insurance brokerage space.

The ideal candidate will have a blend of technical acumen, operational leadership, and exceptional communication skills to ensure the seamless functioning of our core system and its supporting teams.

Key Responsibilities:
  • Oversee Daily Operations: Lead and manage the operational aspects of our core platform, ensuring optimal performance and efficiency of day-to-day operations.
  • Resource Allocation & Team Management: Plan and allocate resources to meet operational goals and deadlines, monitor team workload, and ensure the effective use of resources to drive financial success.
  • Operational Process Management: Develop, document, and implement operational policies, ensuring adherence to industry regulations, internal policies, and best practices.
  • Performance Management: Track and monitor employee and team performance, offering coaching, training, and feedback to foster continuous improvement.
  • Issue Resolution: Quickly identify and resolve operational exceptions, perform root cause analysis, and implement process improvements to avoid recurrence.
  • Cross-Functional Collaboration: Partner effectively with Customer Service, Product, Partner Services, Compliance, and Finance teams to improve service quality and maintain consistent communication.
  • Quality Assurance & KPIs: Implement quality assurance measures for all core processes and use data analysis to optimize core operations processes and identify cost-saving and time-saving opportunities.
  • Process Optimization: Continuously evaluate and enhance workflows to improve efficiency and reduce costs, integrating new technologies and processes as needed.
Requirements:
  • Technical Expertise: A quick learner with the ability to master complex digital platforms. Experience as a system superuser, with the capability to document processes, train team members, and maintain system performance.
  • Detail-Oriented: Strong attention to detail when overseeing processes, identifying operational exceptions, and verifying the work of others.
  • Numerical Acumen: Highly numerate with a solid understanding of financial processes, and the ability to analyze operational data to identify trends, deviations, and areas for improvement.
  • Process-Driven: Proficient in interpreting specification documents and turning them into detailed execution plans while identifying dependencies, risks, and opportunities for optimization.
  • Technical Skills: Strong skills in Excel; experience with SQL is a plus.
  • Industry Knowledge: Familiarity with the health insurance or health services industry is highly preferred.
  • Time Management: Exceptional time management skills with the ability to manage competing priorities and meet deadlines.
  • Leadership: Proven experience in leading teams, dividing tasks, and ensuring project completion under time constraints.
  • Project Management: Commitment to seeing projects through from launch to post-launch monitoring, ensuring continuous improvement.
  • Communication Skills: Strong verbal and written communication skills with the ability to effectively collaborate across departments and convey technical information clearly.
  • Experience: 5+ years of operations experience, preferably in a technology or health insurance setting, with experience in supervisory roles guiding junior team members and growing and developing teams.
  • Education: Bachelor's degree or an equivalent combination of education and experience.
