Job Overview

Position Title: Visitor Center Operations Coordinator (full-time)

Department: Convention & Visitors Bureau

Role Summary: This role supports the Visitor Services Manager in ensuring the effective management of multiple visitor centers. These centers are dedicated to providing essential information services to both tourists and local residents, while also functioning as retail points for tour tickets and transit passes.

Key Responsibilities:
  1. Assist in the daily management of the visitor centers, including overseeing opening and closing procedures and supervising the Visitor Planning Team to guarantee seamless operations.
  2. Daily reconciliation of tour tickets and transit revenue for the primary visitor center.
  3. Manage financial reconciliation for tour tickets, transit, and promotional materials across the remote visitor centers.
  4. Act as the primary liaison for the Visitor Centers on assigned days.
  5. Participate in departmental meetings and relevant travel council discussions as required.
  6. Support the Visitor Services Manager in onboarding and training new staff members.
  7. Order and manage informational brochures, maintaining relationships with stakeholders who display materials at the centers. Oversee the replenishment of brochure displays.
  8. Ensure all incoming calls are handled professionally and courteously.
  9. Provide assistance to counter staff during breaks and peak periods, and cover for absent team members as needed.
  10. Help maintain adequate supplies for office operations and ticket sales.
  11. Assist in managing transit supplies.
  12. Prepare responses to specific visitor inquiries as assigned.
  13. Perform additional duties as required.
  14. Support call center operations as necessary.
  15. Assist in Marketplace activities as needed.
Essential Qualifications:
  1. Strong command of the English language, with excellent verbal and written communication skills.
  2. Effective interpersonal abilities.
  3. Proficient in operating office equipment and learning software applications such as Word and Excel.
  4. Ability to perform accurate mathematical calculations.
  5. Access to transportation for attending meetings and events across the region.
  6. Physical capability to handle various office tools and equipment.
  7. Ability to set up meeting spaces, including preparing refreshments and arranging furniture.
  8. Good vision and hearing, correctable if necessary.
  9. Ability to maintain mobility in various positions.
Additional Qualifications:
  1. Ability to stretch and reach in different directions while in various positions.
  2. Capacity to lift items weighing up to 50 pounds.

Reporting Structure: Reports directly to the Visitor Centers Manager.
