Position Summary

The Travel Coordinator role is primarily internal-facing, requiring a strong customer service orientation along with exceptional organizational and follow-through capabilities. This position supports the travel needs of the Company's personnel by providing administrative and logistical assistance in line with the Company's Travel and Subsistence Policy. Additionally, this role offers backup support to other members of the Office Operations team.

Key Responsibilities include, but are not limited to:

Estimating and Preconstruction Support:

  • Research and present housing options and associated costs in designated geographical areas.
  • Conduct cost of living comparisons for specified locations.
  • Identify and present travel options and related costs for travel into specified areas.
  • Prepare recommendations for Market Leaders and Estimating Team Leaders regarding travel and relocation costs for project estimates.

Operational Support:

  • Compile information on housing options that align with the Travel and Subsistence Policy and project budgets.
  • Identify local resources and service providers for property maintenance and home services.
  • Organize team-building events for remote project teams.
  • Coordinate travel arrangements for team members' families and partners in accordance with the Travel Policy.
  • Utilize Concur and Corporate Travel Management services to assist team members facing challenges during work-related travel.
  • Monitor assignments of traveling team members to ensure accurate application of the Travel Policy.
  • Analyze monthly travel reports to identify trends for negotiating preferred pricing with providers.
  • Ensure client satisfaction through professional and efficient issue resolution.
  • Foster good interpersonal relationships by assisting others in achieving organizational goals.
  • Process invoices through Workflow.
  • Monitor compliance with travel policies through reporting analysis.
  • Maintain vendor relationships and negotiate agreements.
  • Provide primary support for the Corporate Concierge role.
  • Assist with daily office operations as needed.
  • Facilitate logistical arrangements for meetings, conference rooms, and conference calls.

  • Promote safety as a top priority within the organization, adhering to safety protocols and using appropriate Personal Protective Equipment (PPE) in the field.
  • Meet deadlines and adhere to policies and procedures while maintaining good attendance.

  • Perform other duties as assigned by the Supervisor.
  • Travel to various locations as required to fulfill the essential duties of the role.
  • Maintain regular and reliable attendance as required by the Supervisor and company guidelines.

  • Ability to read and interpret documents such as safety rules and procedure manuals.
  • Capable of effectively presenting information and responding to inquiries from various stakeholders.
  • Proficient in solving practical problems and managing a variety of concrete variables.
  • Skilled in interpreting various forms of instructions.
  • Efficiently organizes and manages time and activities.

Education and Experience

A Bachelor's degree along with two to four years of relevant experience or training, or an equivalent combination of education and experience. Proficiency in Outlook and Microsoft Office Suite, including Word, Excel, and PowerPoint, is essential. A professional demeanor, strong communication skills, and the ability to maintain confidentiality are required. Must be able to respond promptly and accurately to inquiries while managing multiple tasks. Exceptional grammar and spelling skills are necessary.

Certifications and Licenses

Travel Agent Professional (TAP) certification is preferred.
