Position Summary

The Travel Operations Specialist plays a vital internal role, focusing on customer service and exceptional organizational skills. This position supports the traveling personnel by delivering administrative and logistical services in line with the Company's Travel and Subsistence Policy. Additionally, this role provides backup and assistance to other members of the Office Operations team.

Key Responsibilities

Estimating and Preconstruction Support:

  • Conducts research to identify housing options and associated costs in designated geographical areas.
  • Gathers and presents cost of living comparisons for specified locations.
  • Investigates and presents travel options and costs for travel into designated areas.
  • Prepares recommendations for project leaders regarding travel and relocation costs for project estimates.

Operational Support:

  • Compiles information on housing options that align with the Travel and Subsistence Policy and project budgets.
  • Identifies local resources and service providers for property maintenance.
  • Plans and coordinates team-building events for remote project teams.
  • Arranges travel accommodations for team members' families in accordance with the Travel Policy.
  • Utilizes travel management systems to assist team members facing challenges during work-related travel.
  • Monitors travel assignments for compliance with the Travel Policy.
  • Reviews monthly travel reports to identify trends for negotiating preferred pricing with service providers.
  • Ensures client satisfaction through professional and efficient issue resolution.
  • Assists colleagues in achieving organizational goals, even beyond regular duties.
  • Processes invoices and monitors compliance with travel policies.
  • Maintains vendor relationships and negotiates agreements.
  • Supports daily office operations as needed.
  • Facilitates logistics for meetings and conference calls.

Additional Responsibilities

  • Upholds safety as a top priority and adheres to safety protocols.
  • Meets deadlines and maintains a good attendance record.
  • Assists others in achieving organizational objectives.
  • Performs other duties as assigned by management.
  • Travels to various locations as required to fulfill job responsibilities.

Qualifications

  • Bachelor's degree with two to four years of relevant experience or equivalent education and experience.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Professional demeanor with strong communication and interpersonal skills.
  • Ability to manage multiple tasks efficiently and respond accurately to inquiries.
  • Exceptional grammar and spelling skills are essential.

Preferred Certifications

Travel Agent Professional (TAP) certification is preferred.
