Key Responsibilities

The Bid Management Specialist will provide vital support by collaborating closely with the Estimator, Division Directors, and Project Managers to prepare comprehensive cost proposals for active bids in a dynamic environment. This role requires effective collaboration with the project team, including Architects, Engineers, Owners, Subcontractors, and Suppliers, to ensure that all information is accurate and complete. The specialist will be responsible for soliciting and gathering bid quotations from subcontractors.

  • Establish and maintain organized electronic job folders for all projects in the preconstruction and bidding phases.
  • Download and categorize project documents into electronic folders, ensuring proper labeling and organization.
  • Review documents to confirm that all drawings, specifications, and reports are included in the bid package.
  • Manage project documents within our online bid management system. Distribute Invitations to Bid, Addendums, and other relevant project communications to Subcontractors.
  • Print plans for team members and maintain both physical and electronic project documents, ensuring all parties have access to the most current information.
  • Communicate with subcontractors to track which companies will submit proposals and follow up proactively until proposals are received.
  • Identify and input new subcontractors into our database, fostering relationships with local subcontractors.
  • Assist staff in preparing bid forms and packages for Clients.
  • Create and maintain Bid Binders for each project, organizing subcontractor proposals for easy access.
  • Research and determine job-specific requirements and fees.
  • Maintain long-term relationships with clients and assist Estimator and Directors in attending pre-bid meetings, documenting discussions and taking photographs.
  • Update the subcontractor database with new and existing company information to ensure accuracy.
  • Manage the Bid Board and Bid Calendar, tracking all potential and active bidding projects.
  • Print and organize plans as needed.
Qualifications
  • General understanding of trades associated with the CSI format.
  • Exceptional organizational skills.
  • Familiarity with Microsoft Excel, Word, Outlook, Project, and PDF editing software.
  • Knowledge of take-off software and Bid Mail is advantageous but not mandatory.
  • Comfortable communicating via phone, as this role will involve significant phone interaction with subcontractors and vendors.
  • Able to work independently while thriving in a fast-paced, dynamic environment.
  • Strong commitment to delivering high-quality work and contributing to the company's success.
  • Eager to learn and unafraid to ask questions.
  • Detail-oriented with a professional demeanor.
