Senior Accounts Supervisor Job Description

Hofstra University is a leading institution in higher education, committed to fostering a diverse and inclusive community of students, faculty, and staff. We are seeking a highly skilled Senior Accounts Supervisor to join our team in the Office of Financial Affairs, Accounts Payable department.

Key Responsibilities:
  • Provide senior-level bookkeeping support to the department, ensuring accurate and timely processing of accounts payable transactions.
  • Act as the primary point of contact for expense management software questions and provide technical assistance to staff members.
  • Assist with the distribution of workload during high-volume periods and ensure seamless operations.
  • Reconcile agency travel arrangements and payments, ensuring compliance with university policies and procedures.
  • Process payments to vendors against purchase orders or as direct payments, maintaining accurate records and supplies.
  • Perform data entry, filing, scanning, and provide support to the Office of Financial Affairs as needed.
  • Calculate prepaid and accrual amounts on invoices to ensure proper recording of expenses.
  • Assist with the review of cash advances, advance settlements, employee reimbursements, and corporate card expenses.
  • Process vendor payments, student refund payments, ACH payments, and wire transfer payments, ensuring timely and accurate processing.
  • Perform check inquiries, voids, and stop payments for vendor and student payments, maintaining accurate records.
  • Prepare various monthly reconciliations and accounts payable reports as required, ensuring compliance with university policies and procedures.
  • Assist with testing of software program upgrades, as needed, and ensure seamless integration with existing systems.
  • Supervise and train student employees, providing guidance and support to ensure successful completion of tasks and projects.
  • Coordinate accounts payable records and offsite storage and destruction, ensuring compliance with university policies and procedures.
Requirements:
  • Proficiency in Microsoft Excel and Word required.
  • Previous bookkeeping or accounts payable experience, with a strong understanding of financial operations and procedures.
  • Experience with database systems, with the ability to learn and adapt to new software and technologies.
  • Demonstrated problem-solving skills and interpersonal skills, with the ability to work effectively in a team environment.
  • Proactive with strong attention to detail, with the ability to handle confidential and sensitive information with discretion.
  • Customer service oriented with excellent communication skills, with the ability to interact with staff members, vendors, and students in a professional and courteous manner.
  • Ability to work in a fast-paced, deadline-driven environment, with the ability to prioritize tasks and manage multiple projects simultaneously.
Preferred Qualifications:
  • Knowledge of Ellucian Banner, Chrome River, and Crystal reporting preferred.
  • Previous supervisory experience, with a strong understanding of leadership and management principles.
