Job Summary

The Document Control Analyst plays a crucial role in ensuring the efficient management of documents and records within the organization. This position is responsible for providing technical support to manufacturing areas and product standard work activities, establishing performance standards, procedures, and audit controls to meet business requirements.

Key Responsibilities
  • Analyze and interpret the significance of proposed changes, guiding change initiators in the development of accurate change requests.
  • Review and update standard operating procedures, logs, forms, manufacturing records, work instructions, and quality records to ensure adherence to established templates and good documentation practices.
  • Communicate effectively with cross-functional associates to meet compliance requirements and partner with them to resolve issues.
  • Analyze, process, and track change order submissions to minimize processing time between submission and implementation.
  • Ensure that change orders are completed and closed properly and in a timely manner.
  • Develop and implement key controlled document updates, providing administrative and clerical support for the change management process.
  • Receive, classify, file, audit, track, and maintain centralized documentation archiving systems for hard copy documents on the floor.
  • Create and release part numbers and bills of materials (BOMs).
  • Analyze document management processes and provide recommendations for improvement.
  • Run reports on historical data to support periodic document review procedures and audits.
  • Function as the document control administrator, preparing documents for release to production teams and ensuring timely responses to issues communicated.
  • Prepare documents for release to production teams and ensure that all documents have no errors in filenames or submissions.
  • Manage and organize documentation projects and priorities, solving problems that impact progress and providing detailed information to cross-functional teams.
  • Collaborate with production operations, Supply Chain, and Engineering to facilitate compliance to applicable standards.
  • Support the quality management documentation and records systems through the production lifecycle.
  • Create and release documents based on input from quality and compliance teams to support new product introduction, production product releases, and other submissions.
  • Ensure documentation and data related to the requirements of the supply chain/materials management process are controlled in a manner that ensures integrity and accessibility.
  • Implement best practices for documenting and streamlining change cycles and effectively follow the company's procedures in submissions of documents.
Requirements
  • Associate's degree in Business Administration, Computer Science, or a related field is required.
  • Bachelor's degree in Business Administration, Computer Science, or a related field is a plus.
  • 3+ years of experience in performing document control functions in a contract manufacturing environment and/or Engineering environment.
  • 2+ years of experience working in an ERP system.

  • Relatively high level of analytical ability where problems are complex.
  • Good attention to detail, hands-on, ability to multitask, and ability to remain calm in a rapidly changing environment.
  • Knowledge of filing systems, document control procedures, and records retention.
  • Proficient typing skills.
  • Working knowledge of ISO Standardized Work, Continuous Improvement, and 5S principles is a plus.
