Job Summary

We are seeking a highly skilled and organized Administrative Assistant II to join our team at San Joaquin Delta College. This is a journey-level position that provides administrative support to a dean or director of a District program or service.

Key Responsibilities
  • Organize and manage the day-to-day activities of an assigned office to ensure efficient and effective office operations.
  • Perform administrative functions for assigned administrators, programs, or services, including developing and proofreading agendas, minutes, reports, letters, and memoranda.
  • Coordinate communication between administrators, staff, students, faculty, vendors, and the public, and resolve issues as needed.
  • Establish, maintain, and revise manual and computerized filing systems, departmental reports, and mailing lists, and verify data for accuracy and compliance.
  • Screen telephone calls and visitors, respond to inquiries, and schedule meetings and appointments.
  • Research District policies, procedures, and practices, and provide reports as necessary.
  • Monitor budget expenditures and account balances, and provide reports for management.
  • Enter requisitions and disbursement vouchers into the financial software system, and process and route invoices for payment.
Requirements
  • Completion of the twelfth grade or equivalent, and three years of increasingly responsible administrative experience.
  • Knowledge of office procedures, standard office equipment, MS Office software applications, and principles of business letter writing and basic report preparation.
  • Ability to perform a wide variety of duties in support of assigned staff, and to communicate clearly and concisely, both orally and in writing.
