Job Summary

We are seeking a highly skilled and experienced Program Manager for Science, Technology, and International Affairs to join our team at Georgetown University in Qatar. The successful candidate will be responsible for the daily management and representation of the Science, Technology, and International Affairs Program, including outreach and development, event management, and program and budget administration.

Key Responsibilities
  • Program Administration
    • Oversee day-to-day management of all STIA undergraduate major courses, including managing course scheduling and adjunct hiring/training, processing reimbursements for course-related expenses and coordinating with MSFS and MS-EIA on the management of the STIA graduate concentration.
    • Develop strategic design and implementation of fundraising campaigns including outreach and cultivation with funders, identifying appropriate funding support for the program and assisting in grant writing for the program for student/faculty research support and programmatic support.
    • Interact on a regular basis with internal as well as external constituencies, including faculty, staff, students, alumni, University officials, local, national and international government officials, and VIP dignitaries.
    • Negotiate contracts with vendors, working with the SFS Dean's office to ensure timely submission and approval of contracts.
    • Manage student employees and expense reports for faculty and staff, serving as Timekeeper in GMS.
    • Work with the SFS HR team to ensure that STIA recruiting, hiring, training, termination, and payment practices are carried out in accordance with HR policies and procedures.
    • Work with the SFS Finance team on STIA financial transactions, including requisitions, contracts, reimbursements, expense reports, ProCard reconciliation, and related payments and transactions.
    • Participate in preparing the budget and tracking expenses, managing and forecasting operating and student worker expenses.
    • Oversee maintenance of STIA offices, program space, and equipment, maintaining supply inventories and coordinating with the SFS Dean's Office regarding capital needs/projects and all requisitions.
    • Recommend changes to departmental technology and inform staff and faculty about issues as appropriate.
  • Faculty Support
    • Manage faculty grant administration and reimbursements in coordination with the SFS Finance team.
    • Coordinate with SFS Dean's office and ORS regarding pre and post grant administration.
    • Ensure timely hiring and accurate payroll for faculty research assistants.
    • Assist faculty with issues related to office space, technology, and classroom needs.
  • Events Management
    • Manage all STIA events, including, but not limited to, conferences, lectures, book talks, beginning and end of year welcome and graduation events, visiting speakers, faculty workshops and seminars. Responsibilities include: Negotiating contracts with vendors; working with the SFS Finance team to ensure timely submission and approval of contracts Reserving venues Generating advertisements, invitations, and associated correspondence; creating/updating mailing lists Managing events from setup to cleanup Coordinating with media, student groups, or any other organization involved in the event Coordinating with SFS Communications on media for events Coordinating with the University Office of Communications on protocol and security Arranging visitor transportation and lodging Any other duties as related to the planning of an event.
    • Coordinate with other departments or external groups for events in which STIA is a partner or participant.
  • Communications and Outreach
    • Work with the Director to develop and lead a proactive strategic development strategy to engage funders and policy communities, identifying key areas of interest and growth.
    • Represent the Center for all internal and external meetings and events in the absence of the Director.
    • Collaborate with STIA leadership to build Center brand and visual identity, creating and maintaining content on the STIA website by tracking the STIA twitter account for faculty news and updates.
    • Monitor emerging legislative and policy developments to inform communications and research strategies, advising and monitoring public communications of sub-grantees.
    • Actively engage, cultivate, and manage relationships with the University and journalists for coverage of Center projects, publications, and events.
    • Oversee the development of print and electronic materials including project reports, annual reports, Center web pages, e-newsletters, and social media postings.
    • Develop and track communications and engagement metrics over time.
    • Liaise with other University offices related to communications, public affairs, publications, and events.
  • Requirements and Qualifications
    • Bachelor's degree; Master's degree in a relevant field such as environmental studies, global health, security studies, or science and technology studies is strongly preferred.
    • 4-5 years of closely related experience in program administration and budget management with supervisory experience.
    • Excellent interpersonal and written communication skills and the capacity to interact effectively with a diverse community, including students, faculty, staff, university administrators, academic counterparts, donors, and members of the media.
    • Strong orientation to detail, deadlines, professionalism, and client service, and excellent interpersonal and written communication.
    • Ability to provide complex and efficient administrative support and prioritize effectively.
    • Proficiency in technologies related to the functions of the position, including Google apps, MS Office, social media, and web design.
  • Preferred Requirements and Qualifications
    • Experience in fundraising, donor management and grant writing.
    • Strong quantitative skills and experience with managing large volumes of data and database queries.
    • Work experience related to science, technology and international affairs.
