About the Role

The University of Pennsylvania School of Arts and Sciences is seeking a highly skilled and experienced Academic Department Administrator to join our team. As a key member of our administrative staff, you will provide critical support to the department, faculty, and students, ensuring the smooth operation of our academic programs.

Key Responsibilities
  • Develop and maintain effective communication channels with students, faculty, and staff to ensure seamless coordination of academic and administrative tasks.
  • Provide administrative support to the Department Chair and faculty, including coordinating meetings, managing calendars, and preparing correspondence.
  • Manage and maintain confidential student records, ensuring compliance with University policies and procedures.
  • Coordinate human resource needs, including faculty and staff searches, appointments, and benefits administration.
  • Act as the departmental point person for budget and finance matters, working closely with the School's business office to ensure accurate and timely financial management.
  • Plan and coordinate departmental events, workshops, and seminars, ensuring a high level of organization and attention to detail.
  • Develop and maintain the department's website, ensuring accuracy and currency of information.
Requirements
  • High school diploma with 5-7 years of related experience, or equivalent combination of education and experience.
  • Bachelor's degree preferred.
  • Strong organizational skills, with ability to prioritize and meet deadlines.
  • Excellent written and verbal communication skills, with ability to provide exceptional customer service.
  • Proven ability to work independently and as part of a team.
  • Self-starter with experience in a college or university setting, preferably in a similar role.
  • Familiarity with Penn's financial systems and procedures a plus.
