Administrative Assistant II

A dynamic and growing finance/consulting company near the Galleria is seeking an experienced Administrative Assistant II to join their team. This is a temp-to-hire opportunity with a strong career path for future growth and development.

Key Responsibilities:

  • Provide administrative support to the team in a timely and efficient manner.
  • Schedule meetings and maintain calendars, ensuring seamless coordination.
  • Coordinate travel, hotel accommodations, and meetings to ensure smooth operations.
  • Screen telephone calls, take messages, and coordinate conference calls to maintain excellent communication.
  • Prepare expense reports in Concur for supported staff in a timely manner.
  • Set up and maintain various office files, logs, listings, and manuals to ensure organization and accessibility.
  • Assist the financial staff with team needs during peak busy times, providing support and expertise.
  • Read and route incoming mail to the appropriate employee, ensuring timely delivery.
  • Perform related duties as assigned, demonstrating flexibility and adaptability.

Requirements:

  • Excellent administrative and word processing skills, with a strong focus on accuracy and attention to detail.
  • A minimum of three years of directly related experience in an administrative assistant position, preferably in a financial or consulting environment.
  • Intermediate or advanced knowledge and ability to complete word processing tasks, including correspondence, reports, memos, proposals, charts, agreements, and PowerPoint presentations.
  • Demonstrates good decision-making skills and can make decisions with moderate supervision.
  • Must have excellent analytical skills, with the ability to analyze complex information and make informed decisions.
  • Strong interpersonal skills, with the ability to work with all levels of staff members, including senior management.
  • Ability to multi-task, prioritize, and manage the completion of projects in an efficient and timely manner, with some supervision.
  • Strong written and verbal communication skills, with the ability to effectively communicate with stakeholders.

Preferred Qualifications:

  • Bachelor's Degree in a related field.
  • Three to five years of experience in an administrative role, with a strong focus on finance and consulting.
  • Working knowledge of Concur and/or Salesforce, with the ability to learn and adapt quickly.
