Position Overview:
The Office Coordinator plays a crucial role in delivering comprehensive administrative assistance to a designated department and its senior management. This position is essential for maintaining efficient office operations and demands a combination of organizational prowess and strong interpersonal skills.
Key Responsibilities:
- Manage incoming calls, relay messages, and ensure uninterrupted telephone service in collaboration with fellow administrative staff.
- Organize meetings, coordinate venues, inform attendees, monitor participation, and arrange travel logistics. Provide refreshments as necessary.
- Follow established protocols while exercising independent judgment. Offer support and direction to junior administrative personnel.
- Draft and type memos, correspondence, reports, meeting notes, presentations, and various other documents.
- Oversee the scheduling for the department and its leadership.
- Procure and manage office supplies, track spending, and ensure necessary items are readily available.
- Engage in special projects and undertake additional responsibilities as required.
Required Qualifications:
- A minimum of three years of administrative experience or a related field, ideally within a medium to large corporate environment.
- A high school diploma or an equivalent combination of education and experience is mandatory; an Associate's degree or relevant qualification is preferred.
