Position Summary:
The Intake Specialist serves as the primary contact for incoming inquiries at Tristar Insurance Services LLC. This role is essential in managing the communication between employees and the Integrated Absence Specialists, ensuring that all necessary documentation is prepared and delivered efficiently.
Key Responsibilities:
- Receive and manage all incoming calls, documenting interactions accurately in the reporting system.
- Prepare and distribute Leave of Absence packets to employees, ensuring timely delivery via electronic or hard copy.
- Forward correspondence and calls to the appropriate Integrated Absence Specialist.
- Monitor and manage client emails, coordinating with supervisors for necessary actions.
- Handle incoming and outgoing mail, including parcels and packages, ensuring proper distribution.
- Assist with document imaging and other administrative tasks as needed.
Qualifications:
- Bilingual proficiency in English and Spanish is required.
- High school diploma is mandatory.
- Experience in a medical or claims office environment is preferred but not essential.
Skills and Abilities:
Excellent communication and customer service skills are crucial for effective interaction with clients and team members. The ability to multitask and manage various responsibilities efficiently is essential.
Physical and Mental Requirements:
This role requires the ability to follow detailed instructions, perform routine tasks, and manage light physical activities, including lifting up to 20 pounds. Strong organizational skills and attention to detail are necessary for maintaining accurate records and correspondence.
