The Property Management Associate will collaborate with the Property Management team to ensure the effective and professional oversight of a portfolio of properties, encompassing approximately 2 million square feet.

The portfolio has potential for expansion. This role will serve as a versatile contributor, engaging in operations, leasing, and financial oversight.

Building Operations/Administration:


Support the Senior Property Manager and Engineering team in all aspects of building management, including safety protocols, incident documentation, and insurance matters.

Assist in the creation of bid packages.
Review weekly work order reports.
Coordinate with vendors to schedule maintenance in the buildings and tenant areas.
Oversee the tenant relations program in collaboration with the Tenant Coordinator and third-party service providers.
Facilitate building and tenant construction projects.
Conduct monthly inspections of cleaning, landscaping, and vacant spaces.
Perform weekly property inspections.
Initiate pricing for various projects.
Review Certificates of Insurance quarterly.

Management Office:
Provide support for property management inquiries as needed.
Assist in organizing meetings.

Financial Oversight:
Prepare monthly variance reports for the Senior Property Manager's review.
Compile monthly accruals for the Senior Property Manager's assessment.
Assist in the development of annual budgets for assigned properties.
Authorize invoices for designated properties in the financial system.
Review accounts receivable.

Communication:
Maintain daily communication with the Senior Property Manager, Chief Engineer, Regional Accountant, and Associate Director.
Draft and distribute tenant communications.
Analyze security reports and generate work orders.

Engage as necessary with the Regional VP, Area Chief Engineer, Regional Accounting Staff, Corporate Accounting, Asset Management, and Lease Administration.

Interface as needed with tenants, brokers, vendors, and visitors.

A Bachelor's degree is preferred, ideally in Business Administration, Real Estate, or Accounting.
A minimum of three years of experience in the real estate sector is required.
RPA designation is advantageous.
A Broker's License is preferred.
Strong financial acumen and problem-solving abilities are essential.

Relationship Skills – Demonstrated ability to communicate effectively and professionally, both verbally and in writing, with owners, tenants, and colleagues; capacity to foster and maintain collaborative working relationships; professional phone etiquette; mature and self-motivated team player with strong conflict-resolution skills; dedicated to personal development and integrity aligned with organizational objectives.

Organizational/Multi-Task Skills – Proficient in time management and meeting tight deadlines; ability to work under pressure and deliver quality results; adept at managing multiple demands and shifting priorities, and embracing new ideas and changes; results-oriented, detail-focused, and precise.

Decision-Making Skills – Capable of resolving issues using factual information and sound reasoning; able to achieve objectives through a strategic approach; proven innovator with a readiness to manage and adapt to change.

Off-site duties will require the use of a personal vehicle.
A valid driver's license is mandatory.
Proficiency in property management/accounting software (preferably Yardi), ARGUS budgeting software; and MS Office applications (Word, Excel, PowerPoint, Outlook) is required.
An assessment will be conducted to evaluate computer and communication skills.
Security clearance may be necessary for certain assignments, particularly those involving properties leased by the Federal government.
