Technical Expertise
  • Maintain electronic files efficiently (Box)
  • Perform specific accounting tasks related to the job, including:
    1. Managing accounts payable for subcontractor invoices
    2. Creating, compiling, and troubleshooting payment applications
  • Possess a fundamental understanding of accounting terminology relevant to the construction sector (e.g., general ledger accounts, journal entries)

  • Recognize internal controls essential for processing payments, including:
    1. Signed authorizations (subcontract agreements, SCOs, material contracts)
    2. Payment authorization (invoices, owner payment receipts, sworn statements, sub bonds, subcontract agreements, and insurance documentation)
    3. Payment release processes (conditional and unconditional releases, certified payroll, union status letters, and approvals from the Project Manager/team)
  • Ability to critically evaluate discrepancies in coded invoices and other financial transactions
  • Comprehend cost reporting and tracking mechanisms
  • Understand phase codes and budgets within CMiC – Potential Change Items
  • Thorough knowledge of Prevailing Wage requirements, including Project Labor Agreements (PLA)
  • Risk assessment capabilities:
    1. Basic understanding of insurance implications in the construction industry
    2. Ensure subcontractors meet all insurance prerequisites and provide fully executed subcontract agreements
  • Familiarity with contract agreements:
    1. Creating Master Subcontract Agreements in CMiC
    2. Entering scope into CMiC for job-specific subcontract agreements
    3. Running necessary background checks and flagging issues for the Project Manager (CSLB, Compline, OSHA, previous history)
    4. Reviewing routing and approval packages for accuracy
Management Abilities
  • Comprehensively understand and complete pay applications for both lump sum and GMP projects
  • Manage and track preliminary notices and monthly lien releases
  • Issue joint checks for all sub-tier and material suppliers
  • Ensure timely approval and submission of pay applications and subcontractor invoices prior to financial closing
  • Guarantee compliance of subcontractors and sub-tier on all prevailing wage projects
  • Facilitate prompt payments for compliant subcontractors to maintain lien-free projects

Qualifications

A college degree is preferred, or equivalent experience in a related field.

A broad understanding of construction administration processes, including contracts and construction documents, is essential.

Proficient in using company software programs and systems:

  1. Strong computer skills (MS Word, Excel, Outlook, CMiC, Box, Bluebeam, Textura) and the ability to learn new software management systems
  2. Proficient in Outlook for managing calendars, tasks, and emails
  3. Ability to navigate and manage files in Box
