Job Title: Receptionist & Accounts Payable Clerk

We are seeking a highly organized and detail-oriented individual to fill a dual role as both the primary point of contact for our office and the lead for accounts payable responsibilities.

Key Responsibilities:
  • Receptionist Duties:
    • Answer and route incoming calls to the appropriate departments and personnel.
    • Provide exceptional customer service and respond to inquiries from customers, vendors, and other callers.
    • Manage and update phone directories and call routing systems.
    • Assist with general office tasks as needed.
  • Accounts Payable Duties:
    • Verify accounts payable invoices for accuracy and completeness.
    • Process payments to vendors in a timely manner.
    • Reconcile accounts payable statements and ensure accounts are up to date.
    • Research and resolve invoice discrepancies.
    • Generate periodic reports related to accounts payable, including monthly use tax reports.
    • Respond to inquiries from vendors and internal staff regarding payment status and discrepancies.
Requirements:
  • Ability to use enterprise-level financial record-keeping software systems, spreadsheets, and email applications.
  • Strong organizational and time management skills to manage both receptionist and accounting tasks.
  • Ability to work independently as well as part of a team.
  • Good problem-solving skills with attention to detail.
  • Previous experience in accounts payable is preferred.
  • Excel experience is a plus.
