Job Overview

The purpose of this role is to organize and coordinate administrative duties and office procedures, ensuring a smooth operation of the clinic. As an integral part of our team at Body Worx PT, you will create and maintain a pleasant work environment, fostering high levels of organizational effectiveness, communication, and safety.

This position requires a high level of attention to detail, excellent organizational skills, and the ability to multitask in a fast-paced environment. The ideal candidate will have prior experience working in an administrative role, preferably in a healthcare setting.

Responsibilities:
  • Oversee patient scheduling, searching for problematic issues and implementing solutions.
  • Handle clock ring corrections and ensure accurate timekeeping.
  • Assist with quarterly performance evaluations for administrative staff.
  • Create and publish the clinic employee schedule, ensuring adequate staffing levels.
  • Holding weekly meetings with the administrative team to discuss ongoing projects and challenges.
  • Perform front desk duties while leading the team, providing exceptional customer service to patients and colleagues alike.
  • Oversee daily operations, including managing supplies, maintaining facilities, and coordinating maintenance tasks.
  • Collaborate with the Business Operations Manager to ensure seamless workflow and efficient use of resources.
  • Obtain pre-auth and insurance verification for patients, ensuring timely and accurate billing.
  • Serve as the point of contact for immediate employee concerns, providing support and guidance when needed.
  • Manage credentialing, revalidations, and recertification processes for clinicians and staff.
  • Assist with payroll and accounts receivable, ensuring timely payment and reconciliation.
  • Work closely with the billing company to resolve insurance billing, denials, appeals, and rejections.
  • Post payments and collect patient responsibility for payments, maintaining accurate records and adhering to financial policies.
  • Organize monthly clinician training lunches and facilitate peer reviews using Bamboo.
