We are seeking a highly skilled Finance Assistant to join our team at Air Partner, a leading international aviation services group. As a key player in the private aviation industry, we provide world-class aircraft charter services and aviation safety and security solutions to industry giants, commerce champions, governments, and private jetsetters.
Key Responsibilities- Assist with daily finance accounting and administrative duties in a high-volume and fast-paced environment.
- Prepare and post sales invoices (AR) and purchase invoices (AP) with high accuracy and efficiency.
- Set up and review payments, ensuring timely invoicing of customers and active credit control.
- Prepare daily bank reconciliations and liaise with brokers and stakeholders on positions of trades.
- Assist with the close of month-end processes, including journal entries and report preparation.
- Ensure postings to Financial ERP (Navision 2016) are of high quality and accuracy.
- Process urgent wires and ACH payments, verifying banking details with vendors.
- Respond to emails and other correspondence in a timely and professional manner.
- Deal with the weekly ACH payment run, processing up to 50 invoices.
- Track corporate card expense reports, following up daily for status of completion.
- Invoice clients and track customer payments, ensuring timely and accurate processing.
- Process client credit cards and ensure compliance with internal payment and credit policies.
- Assist with generating weekly reminders and monthly customer statements, working with the sales team to resolve payment issues.
- Ensure currency requirements are met, minimizing exposure to currency risk.
- Collaborate with the sales and trading teams on deals, ensuring completeness of documentation and adherence to company financial controls.
- Deposit checks and process credit card transactions, ensuring compliance with internal policies and procedures.
- Provide support to the Vice President of Finance on projects and initiatives as required.
- Assist with office support functions, including mail handling and office supply procurement.
- Excellent attention to detail and ability to work independently under pressure.
- Experience working in a high-volume and time-critical accounting environment, with a highly analytical and hands-on approach.
- Experience posting high volumes of invoices daily, with a strong understanding of Accounts Payable and Accounts Receivable processes.
- Ability to cope with frequent interruptions for urgent payments and maintain a high level of accuracy in a fast-paced environment.
- Experience with month-end close processes, including journal entries and report preparation.
- Experience processing wires and ACH payments, tracking corporate card expense reports, and ensuring compliance with internal policies and procedures.
- Strong communication and interpersonal skills, with the ability to work well with team members of all seniority levels.
- Bachelor's Degree in a related field, such as finance or accounting.
