About the Role:

This position is responsible for performing all schedule management functions within the healthcare industry.

Key Responsibilities:

  • Makes changes to department and provider schedule profile templates.
  • Constructs profiles to include patient arrival times, provider station locations, varied booking authorities, and appointment type conversions.
  • Creates and modifies facility provider lists, facility activity lists, and department and provider identification numbers.
  • Prepares providers' medical appointment schedules.
  • Assesses the impact of provider voluntary time off requests based on facility appointment needs.
  • Modifies or adjusts providers' schedules.
  • Reviews appointment supply and demand by month and day of week; monitors appointment supply and makes modifications in provider's schedules as requested.
  • Releases demand-based template options based on providers' clinic availability.
  • Provides department chiefs with cancellation requests and schedule impact.
  • Contacts call center tele-service representatives with lists of canceled patients.
  • Coordinates with local tele-service teams to rebook provider-driven appointments pursuant to guidelines.
  • Uses PC-based tools to adjust provider schedules and appointment supply.
  • Identifies ways to improve systems and processes.
  • Assists with the implementation of new automated systems.
  • Collects pertinent input data from appropriate sources.
  • Codes and enters data into automated scheduling systems.
  • Works collaboratively with members and staff across all service lines.
  • Functions as a team member to achieve organizational, departmental, and call center objectives.
  • Supports the organization's, department's, and call center's customer service philosophy.
  • Identifies ways to improve customer service.
  • Assists staff to resolve problems and complaints.
  • Meets with supervisors to identify educational needs and develop personal goals.
  • Performs other duties as required.
  • Complies with department and regulatory standards with respect to training and development, communication, management of work, and safety.
  • Promotes cost containment through economical utilization of resources.

Requirements:

  • Two years of recent experience on a computerized appointment system.
  • Experience working in a healthcare environment is preferred.
  • PC experience, including Windows and Word Processing, Database Management, and spreadsheets, is preferred. Network experience, including KP HealthConnect and Cadence Scheduling, is also preferred.
  • High school graduate or equivalent.
  • Medical terminology.
  • License/Professional Registration/Certification: None required.
  • Knowledge of Kaiser Permanente's structure is preferred.
  • Excellent verbal and written communication skills and human relations skills.
  • Strong interpersonal skills.
  • Ability to perform multiple tasks and work in a fast-paced environment.
  • Excellent attendance record.
  • Strong service orientation.
  • Excellent decision-making and problem-solving abilities.
  • Sensitivity to workplace diversity and cultural factors.
  • High degree of confidentiality.
  • Ability to operate copier and fax equipment.
  • Alpha-numeric filing skills.

  • Must be able to work in a Labor/Management Partnership environment.

Preferred Qualifications:

  • Previous schedule maintenance experience is preferred.

Skills Testing: Typing 40WPM, Microsoft Word, Advanced Microsoft Excel.
