Job Overview

Summary: The role involves delivering exceptional customer service to patients and healthcare providers while offering administrative assistance for front desk operations and overall site management.

Key Responsibilities: The following duties are essential to the position. Additional tasks may be assigned as necessary.

  • Handles confidential and sensitive information with the utmost discretion.
  • Manages incoming calls, schedules patient appointments, and confirms visits while maintaining a friendly and professional demeanor.
  • Conducts interviews with patients or their representatives to gather personal information, including emergency contacts and attending physicians; collects co-payments when necessary.
  • Explains procedures to patients, outlining what they can expect during their visit and providing necessary warnings.
  • Assists patients in addressing their specific needs and keeps family members updated on patient status.
  • Inputs patient information into the electronic system, maintains medical records, and organizes files as required.
  • Coordinates transportation services for patients when needed.
  • Prepares and distributes correspondence, memos, and reports; manages incoming mail and packages.
  • Maintains an inventory of office supplies and ensures the front desk area is presentable.
  • Provides support to colleagues, medical technologists, and radiologists as required.
  • Faxes reports to referring physicians' offices promptly upon availability.
  • May verify insurance details and confirm coverage as well as the receipt of physician orders.

Qualifications: To excel in this role, candidates must demonstrate proficiency in the essential duties outlined. The following qualifications are representative of the skills and abilities required:

Education/Experience: A high school diploma or GED is required; one to three years of relevant experience or training is preferred.

Communication Skills: Ability to interpret documents such as physician orders and safety protocols. Proficient in writing routine reports and effectively communicating with physicians, staff, patients, and administrative personnel.

Mathematical Skills: Capable of performing basic arithmetic operations and applying these skills in practical scenarios.

Reasoning Skills: Ability to understand and follow instructions in various formats and solve problems involving multiple variables.

Computer Skills: Proficiency in basic computer applications, including email, scheduling, word processing, and spreadsheets. Familiarity with electronic medical record systems is essential.

Certificates and Licenses: No specific certifications are required for this position.

Supervisory Responsibilities: This position does not involve supervisory duties.

Work Environment: The role is typically performed in a well-lit, climate-controlled office setting with moderate noise levels.

Physical Demands: The employee may need to lift and move items weighing up to 50 pounds and should possess specific vision abilities necessary for the role.

Work Schedule: Standard hours per week.
