Administrative Assistant

The Administrative Assistant will provide critical support to IEN RA staff, serving as the primary point of contact for the RA Leader and Staff. This role will also serve as the liaison between the IEN RA Leader and visitors to the PM IEN office, as well as the immediate point of contact for the IEN RA Leader in terms of scheduling and managing travel coordination and general office support.
Key Responsibilities- Greet and receive PM IEN visitors, ensuring a professional and welcoming atmosphere.
- Answer phones and record accurate messages, maintaining a high level of customer service.
- Schedule conference rooms and teleconference lines, ensuring seamless communication and collaboration.
- Schedule and coordinate meetings, maintaining a calendar that is up-to-date and accessible to all stakeholders.
- Prepare and type reports, meeting minutes, alert/phone rosters, email distribution lists, and organizational charts, ensuring accuracy and attention to detail.
- Maintain personnel contact list information, ensuring that all staff members are up-to-date and informed.
- Provide correspondence review, corrections, and updates, ensuring that all communication is professional and effective.
- Document reproduction, staffing, and tracking, maintaining a high level of organization and efficiency.
- Prepare and type official correspondence within the guidelines prescribed in Army Regulation (AR) and be well-versed in Army correspondence practices.
- Monitor office supply stock levels, alerting when restock is necessary, ensuring that the office is always well-stocked and prepared.
- Master's degree and five (5) years of relevant work experience, or Bachelor's degree and seven (7) years of relevant work experience.
- Experience interacting with Army stakeholders supporting similar scope and scale of services is preferred.
- Experience working successfully within a mature shared services-based capability for enterprise-level customers is preferred.
- Demonstrates working knowledge of the concepts involved in the specific functions outlined in the specified labor category description.
- Knowledgeable of and demonstrates ability to apply DoD classification guidelines and procedures.
- Demonstrates ability to work semi-independently with oversight and direction.
- Demonstrates ability to use logic when evaluating and synthesizing multiple sources of information.
- Demonstrates understanding of interpreting analysis to include, but not limited to, its meaning, importance, and implications.
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical SkillsAbility to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning AbilityAbility to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk, and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers, printers, and light traffic.
