Job Overview: The primary objective of this role is to support TRIO participants in enhancing their academic capabilities, leadership skills, and career trajectories. This position will also offer administrative assistance as required to the TRIO Student Support Services Program, including database management, handling confidential documents, and aiding in evaluation and reporting processes. Key responsibilities include delivering direct TRIO SSS services to participants, facilitating program workshops, and organizing cultural enrichment and career exploration activities.

Key Responsibilities:

35% Maintain consistent communication with a designated caseload of TRIO SSS students, providing support across the five mandated services by the U.S. Department of Education.

20% Offer guidance and advice to TRIO SSS students in leadership development and career awareness.

20% Assist project staff with administrative tasks as needed.

10% Contribute to the planning and execution of TRIO SSS sponsored workshops.

5% Prepare and submit documentation for monthly and annual reporting.

5% Support the TRIO Director in the selection and intake of program participants.

5% Manage databases and maintain individual student files.

Performance Metrics:

Timeliness in communication and follow-up with TRIO participants.

Retention and graduation rates of TRIO participants each semester.

Qualifications:

Bachelor’s Degree in Education, Leadership, Counseling, Communications, or a related field.

A minimum of 2 years of experience in a higher education environment is required, preferably in TRIO or similar outreach programs, with knowledge of financial aid, scholarships, transfer programs, and academic advising, as well as proficiency in Microsoft Office and an understanding of diverse populations.

Part-time experience is calculated at 50% of full-time experience.

Impact of Role: This position operates under the objectives of the federal TRIO SSS grant funded by the U.S. Department of Education. Effectively serving the target population of first-generation, low-income, and disabled students is crucial for enhancing retention and graduation rates, as failure to meet grant objectives may jeopardize funding and affect multiple departments within the college.

Accuracy and Responsibility: Maintaining precise student information for the Annual Performance Report submitted to the U.S. Department of Education requires meticulous attention to detail. Errors may adversely affect future funding for the TRIO SSS Program. Miscommunication with students and TRIO SSS staff may lead to misunderstandings and workplace errors.

Financial Responsibilities: Efficient use of office resources and time management is essential for the effective operation of the program with minimal costs.

Budgetary Duties: This role involves purchasing supplies with prior approval from the Project Director. Responsibilities include completing requisitions, processing invoices, and ensuring all purchase documentation is maintained according to U.S. Department of Education and institutional policies. The position does not hold signing authority.

Decision-Making: The role may involve independent decision-making for issues within its scope. For matters outside this scope, referrals should be made to the TRIO Director.

Nature of Interactions: Interactions, both internal and external, aim to provide and receive information, facilitate understanding, and resolve conflicts. Contacts include faculty and staff at the college, non-profit organizations assisting TRIO participants, four-year institutions, and other TRIO professionals.

Physical Requirements: Primarily desk work with some walking and standing. May involve lifting, climbing, and manual dexterity. Travel to other campuses may be required, along with setting up displays at events.

Health Risks: Exposure to germs and bacteria that may lead to illnesses such as colds, flu, and COVID-19 is a notable concern in this position.
