Job Title: Administrative Specialist

Job Summary: We are seeking an experienced Administrative Specialist to join our team at the County of Volusia, FL. The successful candidate will be responsible for coordinating purchasing, budget preparation, inventory control, and records management.

Key Responsibilities:

  • Coordinate purchasing and budget preparation activities
  • Manage inventory and records control
  • Study operations to improve workflow and simplify reporting procedures
  • Collect and prepare operating reports, including budget expenditures
  • Analyze financial data and make recommendations
  • Maintain accounting and purchasing records/ledgers
  • Interpret operating and purchasing policies
  • Prepare, review, and answer correspondence regarding contracts and purchasing requests
  • Coordinate and prepare annual and operational reports
  • Initiate projects and work on a team
  • Analyze unit operating practices to create new systems or revise established procedures
  • Prepare reports, including conclusions and recommendations for solutions to administrative problems

Requirements:

  • Six (6) years of administrative experience or equivalent experience
  • OR a Bachelor's degree in Business Administration, Public Administration, Political Science, Social Services, or related field, and two (2) years administrative experience or equivalent experience
  • Preferred candidate will have experience working in an accounting/purchasing office and 4 years of current Microsoft Office/Excel experience
