Job Overview

The Administrative Support Specialist II plays a crucial role in ensuring the smooth operation of office functions. This position requires a candidate with substantial experience in administrative tasks and office management.


Experience Required:

The ideal applicant should possess 4 to 6 years of comprehensive secretarial and administrative experience, with at least three years in a direct support role. Experience within the Federal Government sector is highly regarded. Candidates must be able to obtain security clearance and demonstrate proficiency in travel arrangements and bookings.


Key Responsibilities:
  1. Execute general office functions efficiently.
  2. Conduct basic statistical analysis and budget-related tasks.
  3. Oversee and coordinate calendars and schedules.
  4. Prepare various documents including reports, memos, letters, and travel vouchers using relevant software.
  5. Review and interpret incoming communications to assess importance and manage distribution.
  6. Sort and disseminate incoming correspondence, including faxes and emails.
  7. File and retrieve essential documents, records, and reports.
  8. Draft responses to routine inquiries.
  9. Engage in research and compile findings from studies.
  10. Collaborate effectively with team members and other departments.
  11. Maintain and organize library documents.
  12. Communicate proficiently with individuals at all organizational levels.
  13. Welcome visitors, verify clearances, and manage access for individuals and groups.
  14. Provide general support for acquisition processes.
  15. Carry out all responsibilities with minimal supervision.

Educational Requirements:

A minimum of a high school diploma is required for this position.
