Job Summary

Movement Solutions is seeking an experienced Administrative Assistant to support the daily operations of our office. The ideal candidate will have a strong background in administrative tasks, excellent communication skills, and the ability to work in a fast-paced environment.

Key Responsibilities
  • Provide administrative support to the team, including answering phone calls, responding to emails, and maintaining accurate records.
  • Build and maintain processes to keep files and office supplies organized and easily accessible.
  • Act as a point person for clients, providing exceptional customer service and ensuring their needs are met.
  • Persistent follow-up with clients to ensure their satisfaction and loyalty.
  • Prepare and send follow-up emails to support phone calls and maintain open communication.
  • Reactivate past patients and schedule appointments using electronic software.
  • Prepare itemized receipts and process follow-up packages.
Requirements
  • High school diploma
  • 1-2 years experience as an administrative assistant, secretary, or receptionist preferred
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Familiarity with office equipment and proficiency in learning new software
  • Ability to handle objections and rejections, and persistence in follow-up
  • Proficient in computer skills and comfortable speaking to strangers and hesitant patients
  • Good storyteller and conversationalist with listening and empathy towards others
  • Goal-oriented and likes key performance indicators
