Job Summary

The Student Services & Records Assistant (SSRA) plays a vital role in supporting the Office of Student Affairs (OSA) at the University of California, San Francisco. This position is responsible for coordinating student records for PharmD students, serving as a primary liaison with the UCSF Office of the Registrar, and providing administrative support to faculty committees on student progression. The SSRA also handles reimbursements for students, supports the implementation of OSA programs and events, and provides reception services for phone, email, and walk-in inquiries.

Key Responsibilities
  • Coordinate student records for PharmD students, ensuring accuracy and timeliness
  • Serve as a primary liaison with the UCSF Office of the Registrar, resolving issues related to student enrollment, progression, and records
  • Provide administrative support to faculty committees on student progression, ensuring compliance with university policies and procedures
  • Handle reimbursements for students, ensuring prompt and accurate processing
  • Support the implementation of OSA programs and events, including student recruitment, admissions, orientation, career services, and special ceremonies
  • Provide reception services for phone, email, and walk-in inquiries, ensuring excellent customer service
Requirements
  • High school graduation or GED and four years of related administrative experience, or an equivalent combination of education and experience
  • Excellent interpersonal, customer service, and verbal/written communication skills
  • Detail-oriented, effective organizational, and time management skills
  • Ability to interact effectively with students, faculty, and the public on the phone and in person
  • Experience working independently and as part of a team, with excellent judgment and the ability to handle sensitive issues in a confidential, professional manner
