The Property Leasing Specialist plays a crucial role in securing new residents for apartment communities while fostering lease renewals through outstanding customer service aligned with the values of Holland Partner Group.

KEY RESPONSIBILITIES
  • Serve as the initial point of contact at the property, delivering an exceptional experience to all visitors.
  • Oversee the leasing process, adhering to the Point of Sale Procedure, which includes conducting tours, following up on leads, processing applications, managing lease files, and coordinating move-ins in compliance with relevant laws and company protocols.
  • Act as a communication bridge between residents and management, ensuring effective dialogue and maintaining thorough documentation of all interactions and follow-ups regarding resident inquiries.
  • Possess comprehensive knowledge of lease agreements, community features, amenities, and the condition of all available units, models, and shared spaces.
  • Collaborate with the Sales Team to enhance property revenue, boost resident retention, and encourage lease renewals, as well as promote additional income opportunities through the Point of Sale Renewal initiative.
  • Collect security deposits, rents, and other leasing-related funds, ensuring accurate documentation of each transaction in the property management software.
  • Maintain detailed records and follow up on all leasing activities, including phone inquiries, guest visits, new leases, and renewals; input all activities into the property management system daily.
  • Communicate regularly with the Sales and Maintenance Teams regarding unit statuses, work orders, and other relevant matters.
  • Encourage positive online reviews to support the property’s reputation management efforts.
  • Safeguard the confidentiality of sensitive documents and information.
  • Regularly assess the customer journey, including online marketing, to ensure information accuracy and property upkeep.
  • Engage in Market Surveys, Quarterly Competitive Market Assessments, and Outreach Marketing initiatives to contribute to the property’s success.
  • Organize and participate in various community recreational and social events.
  • Foster a positive relationship with all Sales and Maintenance personnel to ensure excellent internal customer service, teamwork, and accountability.
  • Represent the community and Holland Partner Group professionally at all times.
  • Adhere to company dress code standards and set a positive example for fellow associates.
  • Perform additional duties as assigned to support the overall team objectives.
QUALIFICATIONS

Education: A high school diploma or equivalent is mandatory. A college degree or relevant coursework is advantageous.

Experience: A minimum of one to two years in customer service and/or sales is essential. Experience in retail is preferred.

Required Knowledge, Skills, and Abilities:
  • In-depth understanding of Landlord-Tenant and Fair Housing regulations.
  • Exceptional communication and organizational abilities.
  • Capability to operate effectively in a mobile leasing environment.
  • Proficiency in Microsoft Word, Excel, and Outlook; familiarity with Yardi software is a plus.
  • Basic office organizational skills.
  • Ability to comprehend and clearly articulate legal and lease documents.
  • Strong interpersonal skills and the ability to build positive relationships.
  • Excellent diplomacy skills.
  • Strong verbal and written communication capabilities.
  • Competence in performing basic to intermediate mathematical calculations accurately.
  • Independent decision-making skills within established guidelines.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Strong commitment to customer service excellence.
Attendance Requirements: This role necessitates availability to work any day of the week throughout the year. Due to staffing constraints, it is vital that individuals can fulfill their scheduled hours and any additional hours required to complete their responsibilities.

Additional Requirements:
  • Successful completion of the Sales Certification process.
  • Ability to lift or move up to 20 pounds.
  • Hearing and visual acuity to recognize signs of emergency situations.
  • Fluency in English, both spoken and written.
