Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to support our Project Management team. The successful candidate will provide administrative assistance to ensure the smooth and timely completion of projects.

Key Responsibilities
  • Provide administrative support to the Project Management team, including performing various administrative tasks and ensuring accurate and timely completion of projects.
  • Facilitate communication both internally and externally, addressing concerns to avoid project disruption.
  • Create and maintain various project-related documents for Project Manager review.
  • Update and maintain Project Management tracking systems with project-related information, such as project documentation, correspondence, project budgets, change orders, customer information, etc.
  • Create and track purchase orders.
  • Track inventory, including inventory location and condition of assets, and support inventory audits.
  • Enter serial numbers into warranty systems.
  • Coordinate shipping of inventory items to customers.
  • Contribute to the development and scoping of projects by assisting Project Managers with research, solicitation of bids for materials, and shop bids.
  • Prepare project-related financial reports for Project Managers.
Requirements
  • High school diploma or general education degree (GED); or less than one year of related experience and/or training; or an equivalent combination of education and experience.
  • Excellent communication, organizational, time management, problem-solving, and customer service skills.
  • High attention to detail and accuracy required.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge of MS Office Suite software.
  • Ability and willingness to learn project-related software.
