Event Receptionist Job Description

ASM Global is seeking a highly organized and detail-oriented Event Receptionist to join our team at the Pensacola Bay Center. As the first point of contact for facility guests, you will be responsible for providing exceptional customer service and ensuring a smooth event experience.

Key Responsibilities:
  • Serve as the primary point of contact for facility guests, responding to inquiries and resolving issues in a professional and courteous manner.
  • Maintain a friendly and professional demeanor, providing excellent customer service and ensuring a positive experience for all guests.
  • Monitor general activity during events, relaying client or guest requests to the appropriate event manager in a timely manner.
  • Answer incoming phone calls, providing general venue and event information to callers, and directing them to the proper phone extensions or delivering messages promptly.
  • Perform standard clerical duties, including operating a multi-line telephone, two-way handheld radio, and copy machine.
  • Receive and distribute all mail, maintain a log of incoming contractors and visitors, and receive and maintain a log of incoming packages.
  • Maintain a log of lost and found items, labeling and storing them in a secure location.
  • Operate a computer, sending and receiving emails, using Microsoft Word and Excel software, and working part-time/irregular hours, including days, nights, weekends, and holidays.
Requirements:
  • High school graduate or obtained GED.
  • Minimum of one year in a clerical, front desk, or receptionist position.
  • Strong background of computer proficiency and operational experience of industry-standard software systems, including Microsoft Windows operating-based platforms such as Outlook, Excel, and Word.
  • Ability to communicate well, both written and orally, and exhibit excellent organizational and communication skills.
  • Ability to plan, organize, and implement policies and procedures, establish and maintain effective working relationships with varied groups and individuals, and manage multiple projects and meet tight deadlines.
  • Detail-oriented, good communication skills, and willingness to work as a team, be trained on facility procedures and policies, and pass a successful background check.

Work typically performed in an office setting in a seated or standing position, must be able to walk and/or stand for extended periods of time, must be able to use close vision, must be able to hear and speak to use a two-way radio and telephone, must be able to hear, read, write, and speak English, must be able to lift and/or move up to 25 pounds, or occasionally more with assistance, and must be able to work flexible hours, as dictated by the event schedule, including days, nights, weekends, and holidays.
