Position Summary

We are seeking a skilled Executive Assistant to join our vibrant team at Bright Digital Solutions. In this essential role, you will provide critical support to our leadership team, ensuring the efficient functioning of our dynamic digital marketing agency.

This position presents a unique opportunity to utilize your organizational talents and meticulous attention to detail to contribute significantly to our company's success.

Key Responsibilities
  • Deliver high-level administrative assistance to executives, including calendar management, meeting scheduling, and travel coordination.
  • Act as the main liaison for both internal and external stakeholders, exhibiting professionalism and discretion in all interactions.
  • Prepare and disseminate correspondence, reports, and presentations, ensuring precision and compliance with brand guidelines.
  • Support project management efforts by tracking deadlines, organizing documentation, and preparing meeting agendas and minutes.
  • Conduct research and compile data to aid in decision-making and strategic planning.
  • Oversee and manage special projects and events from conception to completion, ensuring timely delivery and alignment with organizational objectives.
  • Handle expense reports, invoices, and other financial documents with meticulous attention to detail and confidentiality.
  • Effectively prioritize and manage multiple tasks simultaneously, anticipating needs and proactively resolving issues to ensure smooth operations.
  • Safeguard confidential information and sensitive documents with the highest level of professionalism.
  • Collaborate with cross-functional teams to enhance processes, improve efficiency, and foster communication and teamwork across the organization.
Qualifications for Success

To thrive in this role, you should possess:

  • A minimum of 1 year of experience as an executive assistant or in a comparable administrative position, ideally in a fast-paced setting.
  • A bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Exceptional organizational capabilities and a keen eye for detail, with the ability to juggle multiple priorities and meet deadlines in a high-energy environment.
  • Strong written and verbal communication skills, enabling professional interaction with individuals at all organizational levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity applications.
  • A demonstrated ability to exercise discretion and maintain confidentiality when managing sensitive information.
  • Proactive problem-solving abilities and a knack for anticipating needs and taking initiative.
  • Strong interpersonal skills and a collaborative mindset to work effectively in a team-oriented environment.
