Key Responsibilities:- Collaboration: Work closely with project management staff at the PMO and various sites to create and finalize procurement packages aimed at selecting general contractors and professional service providers. This may involve related change management tasks.
- Competitive Bidding Management: Oversee multiple competitive bidding and selection processes for construction and professional services, ensuring thorough administrative oversight throughout all phases, including document preparation, evaluations, and contract finalization.
- Pre-Qualification Management: Manage the pre-qualification processes for various service firms, including Architectural and Environmental services. This includes preparing Request for Qualifications (RFQ) packages, leading pre-submittal meetings, and facilitating the evaluation process.
- Task Flexibility: Depending on workload and departmental needs, additional tasks may be assigned to adapt to the evolving requirements of the organization.
- Policy Adherence: Maintain strict compliance with established policies, procedures, templates, and applicable laws as a fundamental aspect of your daily responsibilities.
- Reporting and Quality Control: Responsible for tracking and ensuring quality control across assigned procurement processes.
- Multi-Project Management: Handle multiple concurrent procurement processes while collaborating with various stakeholders.
- Administrative Focus: This position is primarily administrative and does not involve supervising others in these functions.
- Attention to Detail: A high level of accuracy and compliance is essential, given the scrutiny of both internal and external audits.
- Work Environment: This role is office-based with no hybrid or remote work options available.
Minimum Required:
- Associate's degree in a relevant field.
- 3-6 years of relevant experience.
- Familiarity with standard contract terms and conditions.
- Proficiency in Microsoft Excel, Word, and Adobe Acrobat.
- Exhibit a reliable, responsive, and positive work ethic with integrity.
- Detail-oriented and organized.
- Quick learner with logical thinking abilities.
- Strong focus on quality and accuracy.
- Excellent written and verbal communication skills.
- Ability to effectively track and report on the status of concurrent projects.
Preferred Qualifications:
- Bachelor's degree in a relevant field.
- Experience in program or project management.
- Knowledge of California Higher Education and Public Contract Code requirements.
- Experience with electronic bidding software.
- Familiarity with project management software.
