We are seeking a highly organized and detail-oriented Client Services Director to support our Managing Attorney, Kalyna Procyk. Position Overview

This is a full-time role at approximately 40 hours per week. For this position, you will need to be willing to work in our Bethlehem office at least 4 days per week and have the ability to work from home the other day. Typical hours for this role are 9:00am-5:00pm in office Tuesday, Wednesday, Thursday, and Friday, and work from home on Monday. On occasion, there may be a need to work additional hours on evenings and weekends. Additional performance bonuses based on meeting firm goals. Three-month probationary period.

 

Mission

Your mission is to manage and organize administrative processes and provide an exceptional client experience for the firm's new and existing clients. Some of the work entails executing on recurring tasks and finding ways to make them more efficient. Other tasks assigned can vary from week to week based on the needs of the law firm. You will also be responsible for creating positive client relationships. Your most important responsibility is to ensure that tasks and projects are completed on a timely basis with the highest level of efficiency, confidentiality, accuracy, and positivity.

 

Responsibilities

You will have the following primary responsibilities:

• Complex calendar management and scheduling.

• Tracking and managing the status of each client matter, and accurately and concisely communicating status and needed next actions, deadlines, and meeting dates with attorney on a weekly basis.

• Ensuring potential clients and clients are fully prepared for all meetings.

• Inputting data, formatting, and editing documents, proofreading documents for accuracy, and preparing estate planning portfolios for delivery to clients.

• Communicating with clients, vendors, and attorney in a clear and positive way.

• Utilizing a variety of online practice management software and proactively learning new technology quickly.

• Various administrative tasks including: managing case files, research projects, office organization, and running errands.

• Willing to learn estate planning legal topics, processes, and documents.

 

Proficiencies

• Systems Thinker: You are great at using systems and processes to get projects from start to finish. You instinctively know how to design, plan, and arrange things efficiently. You enjoy using checklists, road maps, and progress assessments.

• Self-Starter: We are a very small team, so you should be able to figure some things out on your own and be able to creatively problem-solve solutions. Ability to work independently.

• Excellent follow-through. You will be responsible for keeping track of everything, making sure that nothing falls through the cracks, and that data and information are tracked and captured in our systems.

• Affinity for technology. You will be technologically savvy, able to handle working with several different databases of information, and not intimidated by learning new technology. You should have an aptitude for using technology along with interpersonal connections to maximize efficiency, organize processes, and improve the client experience.

• Quality communication. Must be an excellent communicator in both written and oral form. You should not be shy about making phone calls. Should be able to track communication and be very responsive across multiple channels without losing any details. This includes in-person meetings, phone calls, text, email, and database input. A big part of this job involves staying in touch with our clients, so it is essential that you are someone who will ensure that they have a great experience every time they interact with our office.
