Standard working hours are Monday to Friday, 8:30 AM to 5:00 PM.

Compensation is set at $20.40 per hour.

Key Responsibilities:
Welcome and assist all visitors in the Records of Information (ROI) area.

Promptly answer incoming calls and direct them as necessary.

Deliver outstanding customer service to both internal and external stakeholders through phone interactions and in-person meetings.

Regularly check voicemail messages and ensure timely retrieval and distribution of messages.

Process faxed documents and ensure proper distribution throughout the workday.

Monitor the ROI email account and manage requests appropriately.

Ensure that fax machines are adequately stocked with paper to prevent interruptions in service.

Retrieve medical record requests from the designated fax server and respond or distribute them promptly.


Select the appropriate patient record from the enterprise master patient index in the electronic medical record system, adhering to policies for accurate patient identification.

Accurately log all medical record requests into the ROI module of the electronic medical record system.

Handle straightforward ROI requests that require minimal electronic documentation, specifically those that do not involve paper charts or legacy systems; Epic only.

Contact requestors to clarify medical record requests as needed, documenting all interactions in Epic.

Update the ROI module of the electronic medical record upon completion of requests, including relevant comments.

Consistently meet or exceed departmental quality and productivity benchmarks.

Qualifications:
High School Diploma or GED is required, with prior experience in healthcare record management, customer service, and knowledge of privacy regulations preferred.

Basic understanding of Federal HIPAA and state regulations for Maryland and Washington D.C.

Strong critical thinking abilities.

Excellent organizational skills to manage competing priorities effectively.

Exceptional customer service capabilities.

Basic computer proficiency for troubleshooting common issues.

Meticulous attention to detail to ensure accurate data entry.

Able to work collaboratively in a team-oriented environment.

Possess situational awareness to assist colleagues during busy periods, including high volumes of customers and urgent requests.

Ability to interact effectively and courteously with all types of customers, including those in stressful situations.
