Job Summary

This position plays a vital role in supporting the retention, progression, and graduation of students across various degree programs in the Center for Advising and Retention at Clayton State University. As a frontline contact for undergraduate students, the Academic Advisor will drive engagement and empower students to achieve their academic and career goals. The Advisor will build formative relationships with students, interpreting information concerning course descriptions, program requirements, prerequisites, and registration procedures.

Responsibilities
  • Monitor and advise students on their academic progress, ensuring they meet degree requirements and stay on track for graduation.
  • Collaborate with the Assistant Director and/or Director to execute and evaluate campaigns that promote student success.
  • Provide fundamental level support and guidance on academic, career, and life goals, helping students overcome obstacles and achieve their objectives.
  • Make recommendations on academic advising matters to the Assistant Director, ensuring students receive the best possible support.
  • Advise students on academic programs, curricula, and course selections, helping them make informed decisions about their academic path.
  • Maintain accurate and up-to-date student files, making changes as necessary to ensure students receive the support they need.
  • Disseminate information on university policies and procedures to faculty, parents, students, and other stakeholders, ensuring everyone is aware of their roles and responsibilities.
  • Provide assistance and advisement to students in areas such as program admission requirements, registration, probation, academic suspension, and other academic policies and procedures.
  • Conduct orientation sessions for incoming students, helping them transition to university life and academic expectations.
  • Conduct informational outreach to various classes and/or student groups, promoting academic success and student engagement.
  • Audit student records for curriculum, major, and graduation requirements, identifying areas where students may need additional support.
  • Follow up with students who have obtained failing midterm and final grades, providing guidance and support to help them get back on track.
  • Compare transcripts with entrance and graduation requirements, advising students on the necessary actions to take.
  • Refer students with academic discrepancies to the proper officials for further action, ensuring students receive the support they need.
  • Assist in the preparation of special reports relating to enrollment and related matters, providing data-driven insights to inform decision-making.
  • Evaluate and maintain student records for degree requirements using an academic evaluation system, monitoring student registration activities and academic performance/progress.
  • Coordinate communications to students regarding course scheduling, core and major requirements, academic resources, and other important information.
  • Participate in college or institutional student success initiatives, contributing to a culture of academic excellence and student success.
Requirements

A minimum of a bachelor's degree with 3-5 years of experience in higher education is required. One or more years of related work experience, preferably in higher education, is also preferred. A master's degree with 3-5 years of experience in higher education is highly desirable.

The ideal candidate will possess knowledge of student information systems, academic fields for advising disciplines, and Microsoft Office Suite. Familiarity with Degree Audit tools, such as DegreeWorks, is also preferred. Excellent oral and written communication skills, effective organizational skills, and time management skills are essential. The ability to work cooperatively and diplomatically with superiors, peers, students, and outside agencies is also required.
